I once tracked every detail meticulously, convinced I had mastered productivity. I thought I was ahead of the game with every task neatly organized in Trello. However, as my board swelled to nearly 1,000 tasks, it became sluggish and eventually unusable. While Trello may handle more tasks now, the real issue was the time lost in managing this system instead of completing meaningful work.
As I delved deeper into productivity research, I realized the key lies in simply getting things done.

Tracking every single task led to a constant cycle of updating my plans as new tasks emerged and old ones became irrelevant. It felt like an impossible chase, akin to trying to catch the horizon.

Understanding the 80/20 Principle
If you’re familiar with the 80/20 principle (also known as Pareto’s Principle), feel free to skip ahead. If not, you’re in for an enlightening experience!
Vilfredo Pareto, an Italian economist, demonstrated that 80% of Italy's land was owned by just 20% of the population. Similarly, Microsoft discovered that by addressing the top 20% of reported bugs, they could resolve 80% of issues. This principle appears in various aspects of life: 80% of a company's revenue often comes from 20% of its clients, and you may find you wear only 20% of your wardrobe 80% of the time.
Recognizing this disparity can be powerful.
Applying the 80/20 Principle for Success
If you’re anything like me, your task list is likely overflowing. Even if you haven't written them down, you could probably compile an extensive list of tasks quickly.
Understand that it's perfectly normal to have more tasks than you can finish in a day. After all, what would you do tomorrow if you completed everything today?
Despite years of believing I was organized, I recently uncovered how to leverage the 80/20 approach, which has significantly boosted my productivity and reduced my stress levels. Here’s my daily three-step process, even on weekends:
Step 1 — List Your Top 25 Tasks
No need to panic if you can't think of 25 tasks; fewer is perfectly fine. The first few tasks will come to mind easily, as you likely know your highest priorities. A quick glance at your task list or inbox can help jog your memory, but don’t get bogged down in this step.
Step 2 — Choose the Top 5
From your list of up to 25 tasks, identify the five most crucial ones. Document these on a separate list or highlight them in your task management app. Focus solely on these five tasks for clarity.
Congratulations! You’ve identified the top 20% of your original list, which likely holds more than 20% of its overall value. But wait, there's one more step.
Step 3 — Identify Your Most Important Task
From your top five, determine which task is the most critical. Highlight it distinctly, whether by noting it separately, tagging it, or marking it in your app.
Bravo! You’ve now applied the 80/20 principle twice and pinpointed the top 4% of your task list in three straightforward steps.
Getting Things Done
Your task now is to concentrate on that single priority until completion. Distractions may arise, and that’s perfectly acceptable. Whenever possible, return to your primary task.
Once completed, celebrate your achievement. Take a short break, enjoy a walk, or grab a coffee—whatever feels rewarding.
When ready, return to your list of top five tasks, now with just four remaining. This streamlined list allows you to maintain momentum. Highlight your new most important task and dive back into work.
Occasionally, new tasks may need to be added to your top five, and that’s okay. This system provides a framework to keep you focused and on track.
Re-prioritizing
After completing your top five tasks, take a moment to celebrate. Enjoy a longer break or treat yourself to something nice; completing the day’s essential tasks is no small feat.
Next, identify your next set of top five tasks and repeat the process. This straightforward system prevents overwhelm, simplifies prioritization, and helps you find your flow.
